| SIGNIFICANCE OF CONTROLLED VOCABULARY: Vocabulary controll is one of the important components of an information retrieval system. An Information Retrieval System tries to match the user queries with the stored documents and retrieves those that match. In order to match the contents of the user requirements with the contents of the stored documents one must follow a vocabulary that is common to both. In other words user requirements needs to be translated and put to the retrieval system in the same language as was used to express the contents of the document records. This leads us to the concept of using a standard or controlled vocabulary in an Information Retrieval environment. Davis and Rush define the term vocabulary controll in a simple way that can be reproduced as follows: Indexing may be thought of a process of labeling items for future reference. Considerable order can be introduced in to the process by standardizing the terms that are to be used as labels. This standardization is known as vocabulary controll, the systematic selection of preferred terms. Lancaster identifies two major objectives of vocabulary controll in an Information Retrieval environment. 1. To promote the consistent representation of subject matter by indexers and searchers, and there by avoiding the dispersion of related materials. This is achieved through the controll of synonymous and nearly synonymous expressions and by distinguishing among homographs. 2. To facilitate the conduct of a comprehensive search on some topic by linking together terms whose meanings are related paradigmatically or syntagmatically. Lancaster adds that indexing tends to be more consistent when the vocabulary used is controlled. PURPOSES OF CONTROLLED VOCABULARY These provide a means for organizing information. 1.Translation. 2. Consistency. 3. Indication of relationships. 4. Label and Browse. 5. Retrieval. Translation: This provides a means for covering the natural language of authors, indexers, and users into a vocabulary that can be used for indexing and retrieval. Consistency: To promote uniformity in term format and in the assignment of terms. Indication of Relationships: It indicates semantic relationship among terms. Label and Browse: It provides consistent and clear hierarchies in a navigation system to help users to locate desired content objects. Retrieval It serves as a searching aid in locating content objects. PRINCIPLES OF CONTROLLED VOCABULLARY: There are four principles for controlled vocabulary. A major goal of vocabulary controll is to ensure that each distinct concept is desired by a single linguistic form. 1. Eliminating ambiguity 2. Controlling synonyms. 3. Establishing relationship among terms where appropriate. 4. Testing and validation of terms Eliminating ambiguity means that each term has only one meaning and that only one term can be used to represent a given concept or entity. Ambiguity occurs in natural language when a word or phrase has more than one meaning. A controlled vocabulary must compensate for the problems caused by ambiguity by ensuring that each term has one and only one meaning. Synonymy occurs when a concept can be represented by multiple terms having the same or similar meanings. A controlled vocabulary must compensate for the problems caused by synonymy by ensuring that each concept is represented by a single preferred term. The vocabulary should list the other synonyms and variants as non-preferred terms with use references to the preferred terms. In establishing relationship among terms, various types of semantic relationships identified among terms in controlled vocabulary. These include: equality relation, hierarchical relation, and associative relations which may be defined as required for a particular application. VOCABULARY CONTROLL TOOLS: 1. Subject heading lists 2. Thesaurus 3. Thesaurofacet 4. Classurus In subject heading lists, mostly used Subject Heading Lists are Sears List of Subject Heading and Library of Congress Subject Heading. LCSH contains a complete entry vocabulary of the Library of Congress catalogue. Sears List of Subject Heading has smaller scope than Library of Congress Subject Heading, but used in smaller libraries, used for assigning subject headings. Guinchat and Menou in the book ‘General Introduction to the Techniques of Information And Document Work’ -define thesauri as tools consisting of a controlled set of terms linked by hierarchical or associative relations, which mark any needed equivalence relations with terms from the natural language and concentrate on a particular area of knowledge. Thesaurofacet is the thesaurus type and classification type display, each containing some term unique into itself and not found in the other. Ganesh Bhatacharya, developed the Classaurus and is used in POPSI developed by him. Classaurus is a category based systematic scheme of hierarchical classification incorporating all the essential features of a conventional thesaurus.
